We are delighted that you will be presenting at our event. To ensure that all presentations run smoothly and are compatible with the congress technical setup, please carefully read the following guidelines.
Step 1: Prepare your presentation
General instructions:
- The official meeting language is English. All slides and presentations must be in English.
- All presentations must be prepared using Microsoft PowerPoint.
- Presentations must be prepared in 16:9 format (landscape orientation).
- Standard fonts such as Arial, Calibri, Times New Roman, Verdana, etc. should be used.
- Images should be inserted as JPG or PNG files.
- A title slide must include title of the presentation, authors’ names, and affiliated institution(s).
- A conflict of interest/disclosure slide is mandatory. If no conflicts exists, please state: “Nothing to disclose”.
- Presentations must strictly respect the allocated presentation time.
Technical Format for Oral, Poster and Video Presentations:
To ensure compatibility with the congress touch-screen system and centralized slide upload:
- All presentations (oral presentations, e-posters, and video posters) must be submitted as PowerPoint files.
- Screens will be displayed in landscape format, therefore portrait format is strongly discouraged.
- Videos must be embedded directly within the PowerPoint slide and not submitted as separate files.
- Embedded videos should be in MP4 format.
This approach minimizes compatibility issues and ensures smooth operation during the sessions.
Poster and Video Poster Presentations
To maintain consistency across poster formats:
- Both traditional e-posters and video posters must be prepared as ONE single PowerPoint slide.
- Posters should be prepared in landscape orientation.
Traditional e-posters:
- The presenter will provide a live narration during the allocated presentation time.
- The slide should summarize the study clearly and concisely to support the oral explanation.
Video posters:
- The video must be embedded within the slide.
- The title and disclosure information must be included within the video itself.
- All narration must be included in the video.
- No live narration from the podium is foreseen for video posters.

Step 3: Copyright compliance
- Presenters are responsible for ensuring that all graphics, images, and videos used are free of copyright restrictions or appropriately licensed.
- Background music in videos is not permitted.
Step 4: Speaker ready room
- Presenters must visit the Speaker Ready Room at least 60 minutes before their session.
- Please bring your presentation on a USB stick to upload or verify correct functioning.
- Personal laptops will not be permitted for presentations.
- The technical team will verify compatibility with the congress system.
Step 5: Presentation success tips
- Keep slides clear and concise.
- Use large, readable fonts suitable for viewing on large screens.
- Use high-quality images and graphics.
- Maintain a consistent design throughout the presentation.
- Limit animations and transitions.
- Use structured layouts with clear headings.
- Prepare a strong introduction and conclusion.
- Practice your presentation to ensure timing compliance.
- Please remember that many participants are not native English speakers — speak slowly and clearly and avoid excessive abbreviations.
